Give the work a clear plan.

Begin with a shared understanding of what will be built. Drawings, the written scope, selections, allowances, and exclusions need to describe the same project. Identify missing information before relying on an estimate or schedule, and name the people who can make decisions for the owner, contractor, and other parties.

Management needs vary by project. An occupied home renovation requires attention to access and daily routines. A commercial build-out may involve landlord approvals, equipment suppliers, and opening plans. Explain these needs early so coordination and communication can be addressed in the construction agreement.

Plans, scope & allowances

Review which drawings and selections form the basis of the work. Identify allowances for undecided items, exclusions, and owner-supplied products. Clarify who obtains any required professional design or engineering and how revisions reach the people doing the work. Coordination does not replace those professionals’ responsibilities.

Trades, procurement & scheduling

Connect the order of trade work with material lead times, property access, and decisions still due. An item may need approval before it can be ordered, delivered, and installed. Discuss how changes in availability or site conditions affect the sequence and how updates will be communicated.

Inspections & closeout

Establish who handles permit applications, inspection requests, site access, and responses to items requiring attention. Toward completion, identify remaining work, required project records, and handover documents. Completion requirements and each party’s responsibilities should follow the agreement and applicable project approvals.

Keep customer decisions connected to the work

Project management includes the owner’s decisions as well as the construction sequence. Agree on a point of contact, a way to confirm selections, and the information needed for each milestone. Keep current drawings and approved choices identifiable so a superseded plan or an informal conversation does not become an unclear instruction.

Track progress, cost and changes

Discuss how estimates, progress records, and proposed changes will be reviewed. A request for different finishes or additional work may affect price, timing, or both. Follow the agreed change-order process and resolve open questions before relying on a revised scope. Progress updates should explain completed work, upcoming activities, and decisions that need attention.

Can the schedule be guaranteed before selections and approvals are complete?
A target date helps planning, but it depends on the actual scope, approvals, procurement, access, and site conditions. Ask which milestones are confirmed, which depend on another action, and how a change will be reviewed.
Does a Workspace update change the construction contract?
Use the approval and change procedures set out in your agreement. A progress entry, uploaded document, or message should not be assumed to change the contract by itself. Clarify which actions record a decision and which require a signed document or other agreed approval.
