Privacy policy.

Information we collect

Inquiries. We collect the name, email, optional phone number, project location, service type, and description you submit. We record your optional request for Project Workspace access and your acknowledgment of the current terms. An inquiry may become a project record even if you do not create a Project Workspace account.

Accounts and project work. We receive information from you, Everbuilt staff, and participants assigned to your project. It can include account details, property/project information, plans, photographs, documents, messages, tasks, schedules, estimates, change orders, and approval records. Staff may also record project costs, billing information, and warranty or closeout details. The Project Workspace records financial entries; it does not provide a payment-card checkout.

Activity and technical information. Records include who performed an action, its time, relevant record versions, and terms acceptance. Hosting and sign-in providers may process IP addresses, browser/device details, requests, and errors. The inquiry service uses a hashed network identifier for rate limits.

How we use information

• Respond to inquiries, evaluate proposed work, and administer projects from intake through closeout.
• Authenticate accounts, match invitations and inquiries, and control access to assigned records.
• Share authorized project updates and files, record decisions, and maintain business and project histories.
• Send inquiry confirmations, invitations, account verification, password-reset, and necessary service communications.
• Prevent abuse, troubleshoot the service, resolve disputes, and satisfy applicable recordkeeping and legal obligations.

Submitting an inquiry is not consent to unrelated marketing texts or automated sales calls. We do not sell inquiry or Project Workspace information or use it for targeted advertising. Uploading a project photo does not grant permission to use it in Everbuilt’s marketing; we would request that permission separately.

Google and email sign-in

Google and Firebase Authentication handle sign-in. Google sign-in provides an account identifier, email, verified-email status, and display name. Google’s consent screen may also refer to your profile picture; the project database does not store a copy of it. These details identify your account and actions, match your inquiry or invitation, and control project access. We do not use Google account information for advertising.

The Project Workspace does not request access to your Gmail inbox, Google Drive files, contacts, or calendar. Google handles your Google password. Firebase handles email/password authentication and email verification. Everbuilt’s project database does not store your sign-in password.

You can revoke Google sign-in access through your Google Account connections. Revoking access, signing out, or closing an account does not automatically erase existing project records.

Who can see and process data

Project participants. Authorized Everbuilt staff can access records needed for their work. Customers and subcontractors see assigned projects and records shared with their role. “All project participants” includes staff, customers, and subcontractors with access to that project. Staff-only financial and internal records have more restricted access. A participant who downloads a shared file may retain a copy outside the Project Workspace.

Service providers. We use Google/Firebase for authentication, Google Workspace for inquiry and invitation email, and Cloudflare for hosting, project data, file storage, and website analytics. These providers process information needed to deliver their services and may process it in the United States or other countries under their own terms and safeguards. This notice does not replace their privacy notices.

Address suggestions. When address search is enabled, the street-address text you type is sent to Google Maps to suggest US addresses. Selecting a suggestion fills the address field; you can review, edit or enter your address manually. We retain the address you submit for your project, not Google suggestion lists. Google processes these searches under its Privacy Policy and Google Maps terms. Names, emails, project descriptions and drawings are not sent with address searches. An address suggestion is not USPS delivery certification or a verified parcel.

Property lookup. We send the project address to the U.S. Census geocoder and coordinates or address details to public Florida state or county GIS services to identify the county, municipality and possible parcels. These government services may use ArcGIS infrastructure. We retain the lookup sources, date and staff review with the project. Customer names, contact details, plans and project scope are not sent in these property queries. Permit planning suggestions use recorded scope and linked official guidance; they are not a permit approval.

AI-assisted estimating. When authorized staff start a takeoff analysis, selected drawing pages and a trade scope checklist are sent to OpenAI’s API to propose preliminary quantities and identify missing information. Staff review the results before sharing an estimate with invited bidders. Company bid drafts, competing prices, and unrelated project records are not included in that analysis. We request deletion of provider files and responses after results are retrieved or a run is cancelled, and uploaded analysis files have an expiry. Provider security logs and other retention practices still apply; see OpenAI’s API data controls. Only upload material you are authorized to share for project evaluation and estimating.

Other necessary disclosures. We may disclose relevant information when reasonably necessary to comply with law or valid legal process, address suspected fraud or security incidents, establish or defend legal claims, or protect rights and safety. If the business changes ownership, relevant records may transfer subject to applicable law and existing privacy commitments.

Browser storage and security

Firebase uses browser storage to maintain your sign-in session. The website does not include advertising pixels. Your browser communicates with the hosting and authentication providers needed to load and operate the service; the website’s fonts are served from our own site. Blocking required storage or scripts may prevent sign-in.

Website analytics. The public website uses Cloudflare Web Analytics to count page visits. It does not set cookies, does not use browser storage, and does not follow you to other websites. For each page view Cloudflare receives the page address, the page you came from, your browser and device type, and an approximate country derived from your connection; we see these only as totals. The Project Workspace does not use it.

We use access restrictions, verified sign-in, file validation, and activity records to help protect project data. No online system or transmission can be guaranteed completely secure. Keep passwords and invitation links private, use trusted devices, and sign out on shared devices. Contact us promptly if you suspect unauthorized access.

Provide only information needed for your project. Do not submit passwords, Social Security numbers, payment-card numbers, medical records, or unrelated sensitive information. Make sure you have permission to share plans, photos, and information about other people.

Retention and your choices

We keep information as reasonably needed for the inquiry or project, account administration, warranties, business records, legal obligations, and potential claims. Project closeout, access removal, or a Google disconnection does not automatically delete records. Earlier document revisions, approval histories, terms acceptance, and audit entries may remain. Retention also depends on the relevant hosting, authentication, email, and backup systems.

You may ask to access or correct your information, close your account, or delete information by contacting us below. We may verify your identity and authority before acting. We consider applicable law, the rights of other participants, and records that must be retained; deletion is not always available for an entire shared project history. Where applicable law grants additional privacy rights, you may request those rights through the same contact methods. The Project Workspace does not currently have an automatic account-deletion control.

Keep copies of important documents and approved proposals. You can print or save a proposal as a PDF in the Project Workspace. Contact Everbuilt for assistance obtaining records you are authorized to receive.

Children and younger users

The inquiry form and Project Workspace are intended for adults, not children under 18. We do not knowingly solicit personal information from children under 13. If you believe a child has submitted information, contact us so we can review and address it.

Policy changes

The effective date and version identify this notice. We will post updates when practices change and provide additional notice or obtain consent when required. A later policy does not authorize a materially different use of previously collected information without any notice or consent required by law.

Call 813-72-BUILT (813-722-8458) or use the website contact form and label your message “Privacy request.” Business hours are Monday–Friday, 8 a.m.–5 p.m. Eastern. You may call if you do not want to submit another online form. Do not include passwords or unnecessary sensitive details.
